Removing Duplicate Candidates account
Introduction
In the recruitment and talent management process, maintaining a clean and accurate database of consultants is crucial for efficient operations. Occasionally, you may encounter duplicate candidates in the system. This article will guide you through the steps to remove duplicate candidates ensuring a seamless and organised process.
Example Scenario
Suppose Candidate A and Candidate B are duplicate Candidate Accounts, and you need to remove Candidate A. Follow the steps below to complete this process effectively.
Steps to remove duplicates:
Move All Pipelines to Candidate B if they exist
First, ensure all the pipelines and related data associated with Candidate A are transferred to Candidate B. This ensures no disruption in ongoing processes.

2. Remove Authentication of a Candidate A
After moving the pipelines, you need to revoke Candidate A’s authentication. This prevents Candidate A from accessing the system further.
Revoke Authentication: Navigate to the user management section of the http://EVA.ai platform. Find Candidate A’s profile and select the “Revoke” option to remove their authentication (email or google). For a detailed walkthrough, refer to the User Management Training Article .
Remove the Email of Candidate A
Next, you must remove Candidate A’s email from the system to prevent any future communications.
Remove Email via General Information: Access the General Information(or Talent Details) module within the platform. Locate Candidate A’s email and remove it from the system. Detailed steps are as below:
Navigate to Candidate A’s "General Information/Talent Details" section.
Go to the "Contact Information" section in the middle panel.
Click on the edit icon.
Update the "Sign-in Email" field.
Please ensure that the new email address you enter does not already exist in EVA.
Note:
If you wish to update the email of Candidate A to Candidate B, then follow the second and third step above to remove the existing email of Candidate B and update it with Candidate A’s email address.
If you wish to retain the access for Candidate A, then we need not remove the email of the candidate, instead we can just replace the user groups of the candidate in the user management section. To do this, please refer to the User Management Training Article
Archive Candidate A
Finally, archive Candidate A’s profile to ensure it is no longer active in the system while keeping a record for future reference if needed.
