How Job Posting Works
EVA posts jobs to Indeed via an XML feed—a structured data format that Indeed reads to display job listings. This process happens automatically every day at 12 AM (UK Time) for all eligible jobs.
Key Job Posting Steps
Jobs Are Published to Indeed:
When a job is marked as Active and Public Sharing is enabled in EVA, it is included in the Indeed XML feed.
Jobs appear on Indeed at the next scheduled update (12 AM UK Time).
Job Updates Are Synced:
If any job details are modified in EVA (e.g., title, description, salary), these updates are reflected in the next XML feed update.
Expired or Unpublished Jobs Are Removed:
When a job is closed or unpublished in EVA, it is automatically removed from Indeed in the next update cycle.
Discreet Job Postings (Optional):
EVA allows jobs to be posted in discreet mode, where certain job details (like company name) are hidden from public view.
How Applicants from Indeed Are Processed
When a candidate applies through Indeed, EVA automatically detects and categorises them within the recruitment pipeline.
Key Applicant Tracking Steps
Applicant Data is Captured:
Indeed applications arrive in EVA’s CV Inbox through a dedicated email address linked to each job (e.g.,
Companyname+jobID@cv-inbox.eva.ai).EVA extracts the candidate’s details, including their Indeed ID, resume, and contact information.
New Candidates Are Created When Necessary:
If EVA cannot find a matching record, a new candidate profile is created with the Indeed email as the primary contact.
Applicants Are Added to the Job Pipeline:
EVA identifies the job the candidate applied for and adds them to the corresponding Smart Match pipeline with a special "ApplyingFromIndeed" tag. (Entry Points in the WorkFlow)
This helps recruiters differentiate Indeed applicants from other sources.
Duplicate Applications Are Merged:
If an applicant has applied before using the same Indeed ID, EVA merges their new application with their existing profile.
This prevents duplicate records and maintains a clean talent database.
When a candidate applies through Indeed, their profile is initially created in EVA using their Indeed email. During the onboarding process, the chatbot will prompt them to confirm their email, allowing them to update it if needed. However, once the registration process is complete, they can update their email in the "My profile > security" section
Enabling Indeed Apply (Optional Feature)
Indeed Apply allows candidates to complete their applications directly on Indeed without being redirected to EVA. This Feature must be enabled from the user's Indeed account.
If Indeed Apply is enabled, EVA’s XML feed includes additional fields allowing Indeed to process applications directly.
EVA can still track these candidates and ensure their applications flow into the pipeline as usual.
