Eva Business Workflows Configurations
Introduction:
In this article, we start by introducing the flexibility of EVA Business Workflows. Users can easily configure these workflows by incorporating new transitions for various entities like Job Workflow, Job Request Workflow, and Pipeline Workflow.
As an agent with the relevant permission, they can
create stages, states and transitions on job entities
On transitions in any of these entities, custom automations are triggered for candidates, contacts and agents
Receive notifications when a status change (e.g: job request is created, job request is in review etc)

As we already know, Agent can add new workflow transitions with the following accompanying actions available:
Send Email
Send SMS
In-app Transitions
Add Tags
Add to a List

In Addition to these, EVA has introduced 3 new workflow transition action for the business workflows:
Execute Pipeline Workflow Transitions (Added for Job Workflow)
Execute Job Workflow Transitions (Added for Job Request Workflow and Pipeline Workflow)
Execute Job Request Workflow Transitions (Added for Job Workflow)

Configurations
To Create a New Transition:
Navigate to the desired workflow
Click on “Workflow Transitions” for any of the entities you need to configure the transitions. Ex: JobRequestFlow
Click on “+” icon to create a new transition
Assign the user groups in “Allowed User Groups” dropdown for this transition to be visible to the Agent during the status change
Select the Initial State from which the entity is changing its state: Example here is Job Request is changing from “In progress” state has been selected in the image below
Select the Target State to which you wish to move the entity. Example here is “Suspended” as seen in the image below
Provide a button name for the target state, this will be displayed for the Agent during the transition. Example here for the button name is “On Hold”
Pick a colour of the button in “Colour” dropdown
Click on the “+” icon to add a “Workflow transition actions”. To know more about creating a workflow transition refer to this article: Pipeline Workflows | How to add Workflow transitions
Configuring EBW Transition actions
Once the transition is configured, we can set -up the transition actions by selecting
“Workflow transition actions” for the entity you wish to change its status automatically. Example “Execute job workflow transitions” as we need the job status to be changed when there is a change in the Job request workflow
To perform the transition for the configured entity (Example here is a job), the initial state of the configuration should match the initial state of the Related job.
Add the transition for the entity. Example: job workflow that you desire, Job status to be moved from “Interview” to “On Hold” state.
Note that the state here is “Active” state which is mentioned in the image below as “From:” and “Transition” field -> “Interview” is the button name of the transition
*“Allow agent editing” checkbox when enabled, Agent will be able to select/unselect the configured entity (Ex: job flow) transition in the confirmation modal that appears during the status change of the entity.
Once you are done filling in all the details, click on the “Create” button.
By following this approach, you can incorporate EBW configurations into any business entity.
Edit the existing Transitions:
You can edit existing transitions in a similar manner by clicking on the “Edit” icon next to the existing transitions.
EBW Visualization
Our goal with the EBW Visualization feature is to provide customers with an intuitive and dynamic way to understand and manage their workflows within the Workflow FSEM tab. By introducing a 'Diagram' tab, this feature enables users to visualize the current state of their workflows in a clear and interactive format. The visual representation dynamically updates to reflect any changes made while working in the FSEM, ensuring real-time accuracy and alignment. This enhancement not only simplifies workflow navigation but also empowers users to make informed decisions by providing a comprehensive overview of their workflow states and transitions at a glance
