Action: Adding/Removing user groups
Setting up the configuration in the pipeline workflow:
Please refer to the detailed instructions in the article for setting up the workflow transition”Add User group” or “Replace User group” in pipeline workflow.Eva Business Workflows Configurations | Configurations
For “Add User group” action:
You need to select the “Add candidate user groups” action in Pipeline workflow while configuring. Also, please ensure that the required transitions are already configured in the pipeline workflow as mentioned in the link above.
For Example:
When a candidate is part of an initial user group, such as "Newly Registered," they have limited access to update and view the fields. For instance, they might only see a few job openings in the widget. However, as they progress and get added to a new user group, such as "Shortlisted," their access expands. This transition unlocks additional features, like viewing more recommended jobs and the ability to apply to multiple positions simultaneously. This ensures that candidates who demonstrate higher potential or meet certain criteria can benefit from enhanced opportunities and resources.
How to test “Add candidate user groups” action in Pipeline Workflow:
Once the workflow transition action is added in the pipeline workflow, follow these steps to test the added transition:
Navigate to Pipeline and perform configured pipeline transition ex: “Relevant” state to “Available”.
Click on “Confirm Selected” in the confirmation modal window that displays the candidate groups that will be added to the pipeline which was configured earlier
Candidate will now be moved to “Available” state and the user groups will be added to the candidate profile along with the existing user groups.
Note: Please note that the existing user groups in the candidate pipeline will NOT be affected when new user groups are added in the transitions.

For “Replace User group” action:
You need to select the “Replace candidate user groups” action in Pipeline workflow while configuring. Also, please ensure that the required transitions are already configured in the pipeline workflow as mentioned in the link above.
Example:
Consider a scenario where a candidate starts in a premium user group, like "Shortlisted," which grants them extensive access to job recommendations and premium features. If the candidate is later rejected, they are moved to a different user group with more limited access, such as "Rejected." In this new group, the candidate's features are scaled down, and they can only see fewer job postings and have restricted interaction capabilities. This tiered approach helps manage candidate expectations and engagement levels appropriately based on their status in the recruitment process.
How to test “Replace candidate user groups” action in Pipeline Workflow:
Once the workflow transition action is added in the pipeline workflow,
Follow these steps to test the added transition:
Navigate to Pipeline and perform configured pipeline transition ex: “Qualifying” state to “Discarded by RMT”.
Click on “Confirm Selected” in the confirmation modal window that displays the candidate groups that will be added to the pipeline which was configured earlier
Candidates will now be moved to “Discarded by RMT” state and the user groups will be replaced in the candidate profile. This means, any existing user groups in the pipeline will be removed and new user groups configured will be added.
