Archiving
This article explains how you can benefit from the archiving feature.
This feature will allow you to archive entities that are no longer relevant in your database.
Archiving can be used to archive old jobs, hide unwanted candidates, and clean up databases.
Archiving can be applied to different types of entities such as candidates, companies, contacts and jobs.
More specifically when you archive:
A candidate:
They won’t appear in match
You will find them if you look for them in the ‘global search bar’ (they will appear at the bottom of your search)
They will be still able to login into their candidate portal
All archived candidates will be removed from lists and stored in a separate archive list
A Job:
You will find them if you look for them in the ‘global search bar’ (they will appear at the bottom of your search)
The job will be automatically removed from the career job page and EVA Bot won’t recommend these jobs (their sharing status will be automatically moved to ‘disabled’)
‘Active’ jobs cannot be archived
All archived jobs will be removed from lists and stored in a separate archive list
A Company:
You will find them if you look for them in the ‘global search bar’ (they will appear at the bottom of your search)
All archived jobs will be removed from lists and stored in a separate archive list
A Contact:
You will find them if you look for them in the ‘global search bar’ (they will appear at the bottom of your search)
All archived contacts will be removed from lists and stored in a separate archive list
Pipeline:
If a job for which I am the candidate was archived, then I'll see it in my portal under 'archived’
All archived pipelines will be removed from lists and stored in a separate archive list
What is the best way to archive an entity?
You can archive an entity by going to 'general information' and selecting 'archive' from the bottom menu.
A confirmation message will appear once you click the button. Click confirm to proceed with archiving the entity.
When an entity is archived, its profile picture will display an archive icon. The screenshot below shows what I mean:
When you are in jobs, candidates, or contact menu lists, you will still be able to see archived entities but they will be in a lighter colour and have an archived icon next to their name.
Alternatively, you can archive entities in bulk by selecting multiple jobs in the list view and selecting 'archive' from the top menu.
How should I unarchive an entity?
The option unarchive can be found on the general information tab of an entity, as shown in the screenshot below.
Clicking on the button will open a new window asking you to confirm you wish to unarchive the entity. Click on 'confirm' to proceed.
Alternatively, you can unarchive entities in bulk by selecting multiple jobs in the list view and selecting 'unarchive' from the top menu.
You should remember that if a candidate is in 'archive' status and then logs into the EVA portal, they will be restored and marked as 'unarchived' automatically.
Additionally, if a pipeline is added to an archived candidate, it will automatically be unarchived and reinstalled.
Where can I find a list of all archived entities?
Let's say you want to search all archived jobs. If you click on the 'jobs' tab on the left menu and select the 'list' option, you will find the folder 'archive'. When you click on it, all archived jobs will appear.
Tip:
On the profile icon of an entity, hovering the mouse over the archive icon reveals when the entity was archived as well as which agent archived it. Below is an example:
