Smart Lists & Sharing Lists
Smart lists enable agents to build intelligent workflows by defining parameters for curated lists. These lists can include specific companies, job titles, types of jobs, and more. Smart lists can be customized for candidates, contacts, jobs, and companies within EVA.
Creating a Smart List: To create a smart list, go to the candidate window, run a search using filters, and save the results. For example, search for "Marketing Executive" and click "Save" and then on ‘Save as a new list’ to store the list in the instance.
Accessing Existing Smart Lists: To access a previously created smart list, click on the arrow next to "All Candidates" and select the desired list. Smart lists and manual lists have different icons for easy identification.
Editing and Deleting Smart Lists: To delete or edit a list, click on the trash or pencil icon, respectively.
To exclude a candidate from a list, you need to do a different process:
Go to the candidate's general information tab.
On the right panel, locate the pencil icon next to the list the candidate is currently associated with.
Click on the pencil icon to edit the candidate's list information.
Remove the list that the candidate is currently belonging to.
After removing the list, click on the 'submit' button to save the changes.
Search Smart Lists: Click on the "All - Jobs/Candidates/ Companies/ Contacts" icon on the top left of each entity to quickly search for a list. All lists will appear in a pop-up window, where you can select the desired list.
Organise Smart Lists: If you have numerous lists, click on the "Open Lists" button to open a new menu with a search bar to quickly look for lists by name.
Manual Smart Lists: Manual Smart Lists allow agents to create static lists of candidates that do not automatically update when new information is added to the system. To create a Manual Smart List, run a search on candidates, select the desired candidates, and click "Update List." The list will not change unless manually edited.
Dynamic Smart Lists: Dynamic Smart Lists are auto-updating lists that readjust themselves as new candidates, jobs, or contacts are created or updated in the system. These lists help users maintain up-to-date information without the need for manual intervention. As new candidates, jobs, or contacts are added to the system and meet the criteria of the Dynamic Smart List, they will be automatically included in the list. To create a dynamic smart list, simply use the column filter and then click on ‘save as a new list’.
Multi-dimensional SmartLists: Multi-dimensional SmartLists are advanced lists that allow users to create complex queries by combining multiple column parameters and filters. These lists can be used when specific conditions are required, such as including candidates with a certain field value while excluding others with a different value. If a client requires a query that cannot be achieved through the standard SmartList creation process, such as "Not Free To Work + When to contact," you will need to provide the details to your Customer Success Representative.
Sharing Lists: In the EVA platform, regardless of whether you are working with candidate, contact, company, or job lists, you have the ability to share those lists with other users. To do this, follow these steps:
Click on "Open List" to access the list you want to share.
Locate the "Sharing" button and click on it to open the sharing options.
Select the user groups with whom you want to share the list.
When sharing the list, you have the option to grant the user groups either "edit" or "view only" permissions. This allows you to control the level of access and collaboration for each group.
Additionally, you can also share the list outside of the EVA platform by copying the URL link provided. This makes it easy to share the list with team members or stakeholders using third-party software or communication tools.
Please note that there are two sharing options available:
Edit access (can edit): By adding a specific user group in this field, you grant them the ability to edit a particular list. They can update the list and save it with different columns.
View-only access (can only view): By adding a specific user group in this field, you restrict them from making any new changes to the list (including editing columns). Instead, they will only see the option to "save as a new list."
Furthermore, please remember that you can effortlessly copy the list's link by clicking on the 'copy' button.
