How to forget a candidate on Agent side

In the Eva.ai platform, when an agent needs to handle a GDPR request from a candidate i.e when the candidate says “Forget Me” or “I want to be forgotten” via ChatBot, the agent receive an in-app notification and an email notification, the agent follows these steps:

When the agent clicks on the Forget Candidate option, the profile details related to the candidate will be hard deleted from the EVA system. However, email and name of the candidate will be retained in the system database.

To forget a candidate, follow these:

  1. In the candidate section, find the candidate.

  2. Hover over the candidate, until you find an Edit icon at the right end.

  3. Click on th Edit icon, to open full screen preview of the candidate profile

  4. Click on the Candidate details option in the blue panel and you will see Forget candidate option at the bottom of the page

  5. Click on the Forget candidate option.

 

How to find a forgotten candidate

Forgotten candidate cannot be searched in the EVA system even through the global search. EVA maintains historic data of forgotten candidates BUT hard deletion is done due to GDPR purpose. It can be recovered from backlog only and takes 10-20 hrs per candidate.

 

When the Candidate request to be “Forgotten”

 

Overview

Eva.ai provides candidates with a "Forget Me" option, enabling them to request the deletion of all their personal data from the system in compliance with GDPR regulations. This feature can be accessed through the candidate's profile settings.

Accessing the "Forget Me" Option

  1. Log in to Your Candidate Account:

  2. Navigate to “My Profile”

  3. Click on “Settings”

  4. Click on "Forget Me"
    A warning message “This action will remove all of your information and records from the system.” with buttons Forget me and Cancel under it will appear.

Decision Making:

  • If you decide to proceed with the deletion, click the "Forget Me" button.

  • If you change your mind or wish to retain your data, click the "Cancel" button.
