How to Add a New Candidate
In this article, we will explain how to upload new candidates' profiles to the EVA platform.
You can do it in four ways.
Upload directly from the Candidate’s menu
Click on 'Candidates' in the left-hand menu.
Click on the little green plus icon on the left to open the candidate creation form.
Simply upload the CV of the candidate by clicking on ‘Upload a CV to create a new candidate’.
The profile of the candidate will be automatically generated and all of the information will be parsed from the CV.
Now you can enhance the candidate's profile and add more information if necessary.
You can edit a specific piece of information by clicking on the pencil icon in each section.
Let's take a look at the candidate tabs:
Candidate detail: contains personal information (contact’s details), languages spoken, notes, skills, tags and lists
Candidate Work profile: Provides information about the candidate's current position and salary. In addition, have a dedicated section for the candidate's availability, where you can specify whether the candidate is currently available for work or when to follow up with them.
Also, include a section on salary and position desired.
Experience: You will find the parsed version of the CV in the middle and the original version on the right.
We recommend checking the candidate's profile to make sure that the work experience was properly parsed.
You can edit any of the fields by clicking the pencil icon, updating the information, and then clicking 'Submit'.
Alternatively, if you want to add a new experience, you can click the green plus icon instead.
Education/qualification: Similar to the "Experience" section, this section contains information retrieved from the candidate's parsed CV regarding their education.
You can edit any of the fields by clicking the pencil icon, updating the information, and then clicking 'Submit'.
Alternatively, if you want to add a new qualification, you can click the green plus icon instead.
Candidate additional Information: Additionally, this section includes information regarding the candidate, including the custom fields requested by you. The Customer Success team can help customise these fields if needed.
In order to edit any field, click on the little pencil icon next to the field you wish to change, then click on the 'Submit' button once you are finished.
Pipelines: This is where the list of all the jobs for which candidates have been pipelined along with their status will be kept.
In order to add a candidate to a specific job, click on the green plus icon, enter the job name you wish the candidate to be listed under, and click the 'Add' button.
Interactions: this is where all the activities related to the candidate will be logged. This includes pipeline movement, chatbot interactions, email activities, and notes.
CVs and Attachments: This is where all of the candidate's documents will be saved.
There will be a section for CVs and another for attachments.
You can attach an attachment to a candidate by clicking on the green plus icon and uploading the file.
The new window allows you to specify the type of attachment (the attachment library can be customized) and add the expiration date of the document if necessary.
It is possible to check the box 'Mark as verified' to signify that the document has been reviewed. Then click 'OK'.
Candidates Upload via CV-inbox
You can create a candidate's profile by emailing their CV into EVA.
The CV-inbox email address is different for each client instance - please speak to your dedicated Customer Success representative to find out the exact one.
Attach the CV you wish to add in an email, and if you wish to add it to a pipeline, write the job ID in the subject line.
Once the email is sent, the candidate's profile will be generated into EVA within a few minutes.
It can be easily found either by typing the candidate's name in the Global Search bar or by clicking on the 'Chat' tab from the menu on the left. A new page will open showing the most recent activities.
Please note that this functionality only support the generation of one candidate at the time.
Import of Candidates via Migration
For efficient importing of a large number of entities on EVA.ai, we recommend utilizing the migration feature. To proceed with this, please follow these steps:
Download the provided spreadsheet (https://docs.google.com/spreadsheets/d/1SyRC5fr1ZNI_EtZjAx7NL9tz_vUOBK9XOBlX1-WxfTg/edit#gid=81398722)and fill it out with the candidate data.
Generate a support ticket by clicking on the 'help' icon on your screen.
Attach the filled-out file to the support ticket.
Our team will handle the migration process, which typically takes up to 2 business days.
Once completed, you will be able to view and access the imported candidates under the 'candidates' tab.
Import via API
If you prefer to use an API connection to upload your candidates, we suggest referring to our API documentation. Click here to access the documentation and familiarize your tech team members with the process. If you decide to proceed with this method, please reach out to your Customer Success Representative. They will provide you with a secure token that you can utilize to interact with our API.
